This policy explains how LSS may collect, use, share, retain and protect personal information when responding to enquiries, arranging assignments, delivering language services, managing professional relationships and meeting legal or financial responsibilities.

1 Who we are

Language Services and Solutions provides interpreting, translation and related language services. For privacy enquiries, contact info@thelss.com.

2 Information we may collect

We may process requester and organisation contact details, assignment information, language and accessibility requirements, correspondence, source documents, service records, invoices and feedback. Some assignments may involve special-category or sensitive information supplied by the client.

3 Why we use information

We use information to respond to enquiries, prepare quotations, arrange and deliver services, manage linguists and suppliers, communicate about bookings, meet legal and financial duties, protect people and systems, and improve service quality. The applicable lawful basis depends on the context and may include contract, legitimate interests, legal obligation, consent or substantial public interest conditions.

4 Sharing

Information is shared only where reasonably necessary with appropriately selected linguists, reviewers, service providers, professional advisers or authorities. Clients should avoid sending information that is not needed for the assignment.

5 Retention and security

Records are kept only for as long as required for service, legal, safeguarding, insurance and financial purposes. LSS applies proportionate organisational and technical safeguards and expects confidentiality from those delivering services.

6 Your rights

Depending on the circumstances, individuals may have rights of access, correction, erasure, restriction, objection, portability and complaint. Requests can be sent to the contact address above. You may also complain to the UK Information Commissioner's Office.

7 Cookies and external services

This standalone website does not intentionally set advertising cookies. Hosting, security, analytics, portal or embedded services added later must be assessed and disclosed before launch.

Portal accounts and service requests

When you use the LSS Portal, LSS stores your account name, email address, account role and service-request or assignment records in private server storage. Passwords are stored as hashes. Client accounts can view their own requests; interpreters can view work assigned to them; authorised LSS administrators manage accounts and requests. Login attempts are limited using short-lived hashed identifiers.

Provide only the information necessary to coordinate your request. Do not enter sensitive case histories or personal medical information in the portal. Contact LSS to agree an appropriate method for sharing confidential documents, to request corrections or deletion, or to ask about retention of your records. Portal sign-in uses essential session cookies.
